Invoices

/client/invoices (My Invoices) opens with three tiles: unpaid invoices with the amount due, overdue ones, and what was paid this year. The invoices (drafts excepted) follow, 25 a page, with tabs All, Unpaid (unpaid, payment pending and in collections), Paid, Cancelled and Refunded, each row with number, issue date, due date (red when overdue), total, a status badge and Pay or View. The sidebar's Billing block links to unpaid invoices, all invoices, quotes and payment methods on every billing page. When "Clients may pay several invoices at once" is on and more than one invoice is unpaid, tick boxes let the client choose invoices and pay them together: CoreInto makes one invoice whose lines are the chosen invoices, and paying it marks them all paid. Needs "See and pay invoices".

/client/invoices/ID shows the number with its status badge and the Print (a printable page) and PDF buttons, which the sidebar's Invoice Actions block repeats. An unpaid invoice starts with a payment card (red when overdue): the amount due and its due date, the ways to pay, then the panels Invoice details and Bill to, the lines with subtotal, tax and total, the payments made and notes. The ways to pay:

  • Use credit: when the account has credit, the amount to apply (the lesser of the balance and the credit is suggested) and a button. Not offered on an add-funds invoice.
  • Pay with: the payment method. When more than one gateway is offered and "Clients may change the payment method of an invoice" is on, a dropdown; otherwise the invoice's method. A manual method (bank transfer and the like) shows its instructions on the page, with a reminder to mention the invoice number. An online method has Pay now, which sends the client to the provider and brings them back to the invoice with a message (paid, pending or failed). "Keep my card for automatic payments" appears when the gateway can store cards.
  • Pay with ... •••• 1234: one button per kept card that has not expired; the card is charged at once.
  • When no gateway is set up, the page says online payment is not available and shows the pay-to text from General Settings.

A paid invoice says "Paid, thank you."

Change currency

When "Clients may change their currency" is on (General Settings, Localisation), the top bar has a currency menu: a coins icon with the current code, listing every currency. Visitors who pick one see the store in it straight away. A signed-in client (with the invoices permission) is taken to /client/currency, which shows what will change before anything does:

  • the exchange rate, for example "1 USD = 280.50 PKR" (the rates come from Settings > Currencies);
  • every unpaid invoice, line by line, with today's amount and the new one. A line marked "Price list" takes the price you set for that product, add-on or domain extension in the new currency (for the same term, options and quantity; a line with a prorated or discounted amount keeps its share of the list price). A line marked "Converted" has no price in the new currency (custom lines, late fees, promotions, or a product without that currency's price) and is converted at the rate and rounded;
  • invoices that stay as they are: any invoice with money already paid on it, credit applied, a payment pending or in collections;
  • the renewal amount of each service, add-on and domain, worked out the same way;
  • the credit balance, now and converted.

Confirm changes the account's currency, re-prices the unpaid invoices (an active Gateway Fee module adds its fee again), the renewal amounts and the credit balance in one go, and writes it to the activity log. Paid, cancelled and refunded invoices and past transactions never change. The credit history keeps two lines for the move: the old balance closed and the new balance carried over. An account with nothing to move (no invoices, services, domains or credit) is changed at once.

Add Funds

/client/add-funds exists when "Clients may add funds" is on (General Settings, Credit). It shows the credit balance as a tile, the credit history (deposits, credit used on invoices, refunds to credit), and a form for the amount, between the smallest and largest deposit; the largest credit balance is also enforced, counting deposits still to pay. With "Only clients with an active order may add funds" on, new clients are told they can add funds once they have an active order. Continue to payment makes an add-funds invoice and opens it; the deposit becomes credit when the invoice is paid. Credit is never used to pay an add-funds invoice. Needs "See and pay invoices".

Quotes

/client/quotes (My Quotes) opens with tiles for quotes waiting for an answer and accepted ones, then lists the quotes staff sent (drafts excepted) with subject, dates, total and a stage badge. /client/quotes/ID shows the subject with its stage badge, the Quote Actions sidebar block (Print, Download PDF), the proposal text, the lines with quantities and discounts, the totals, notes to the customer, Print and Download PDF, and the validity date. Accept quote (offered while the quote is delivered or on hold and not past its date) turns it into an invoice due in 7 days, emails the invoice to the client, tells staff with account notices, and opens the invoice. A quote already accepted links to its invoice. Needs "See and accept quotes".
